Subject: You’re Invited to Test Our Release Candidate (Android APK + Instructions)

Hi [First Name],

Thank you for helping us test our near-final version. This “release candidate” is very close to what we’ll ship publicly. Your feedback now helps us catch issues and polish the experience before full release.

Below are simple, step-by-step instructions to download and install the Android APK, plus how to send us feedback (with screenshots) so we can act quickly.


1) Download the app (APK)

  1. On your Android phone, tap this link: [Download APK]
  2. If the download stalls or doesn’t finish, try again—this can happen on some devices.
    • Tip: Switch to Wi-Fi, or pause and retry.
  3. When it completes, the file will be saved to your Downloads folder.

2) Install the APK (first time “sideload” setup)

Note: This is not the standard Play Store install. We’re using this method because you’re part of a limited test group.

  1. Open your Files or Downloads app by swiping up from the bottom of  your home screen. Click the Search box and search for and tap Files or Downloads.
  2. Tap the downloaded file: [appname-version].apk.
  3. If you see a security prompt such as “Install unknown apps”:
    • Tap Settings (or Allow from this source) and enable permission for your browser or Files app.
    • Return to the file and tap Install.
  4. If you see Play Protect warnings:
    • Tap More details → Install anyway (you can trust this build from us).
  5. After installation, tap Open (or find the app on your home screen/app drawer).

If you get stuck at any step, reply to this email or call—include what you saw and where you were in the steps.


3) Using the app & reporting issues

Please use the app as you normally would and share any bugs or suggestions.

1. How to submit feedback (preferred): email support@yourdomain.com]
Subject line: `Feedback – [Your Council/Org] – [Brief Issue Title]`

What to include (this helps us fix fast):

  • Your device & Android version (e.g., Pixel 6, Android 14)
  • App screen name where it happened (e.g., “Member List”, “Attendance → Check-In”)
  • Steps to reproduce (1–2–3)
  • What happened (actual result)
  • What you expected (expected result)
  • Date/time you saw it
  • Any attachments (screenshots or short screen recording)

4) How to take screenshots (Android)

  • Most devices: Press Power + Volume Down together.
  • Some devices: Press and hold Power, then tap Screenshot.
  • To share: attach the image(s) to your email to [support@yourdomain.com]

(Optional) Short screen recording helps: on many devices, swipe down for Quick Settings → Screen Record, record the issue, then attach the video.


5) What to expect during testing

  • We’ll fix bugs quickly and push updated builds as needed.
  • New feature ideas are welcome; we’ll log them and consider them for future releases after launch.
  • Because this is a release candidate, you may see occasional rough edges—that’s exactly what we want to find and polish now.
